As ActivStyle moves forward under new ownership, we understand that you may have questions about what this means for you. This FAQ is designed to provide clear, up-to-date information on key topics, including our new parent company, any changes to benefits, roles, responsibilities, and what to expect in your daily work. Our goal is to ensure a smooth transition while keeping you informed and supported every step of the way.

Why is Sumitomo interested in ActivStyle?

Sumitomo is endeavoring to improve health outcomes and provide greater access to healthcare resources. ActivStyle’s mission and culture closely aligns with Sumitomo’s business philosophy, and we will seek to collaborate to expand the platform.

What cultural changes do we expect Sumitomo to bring to ActivStyle?

While we don’t expect any major cultural changes at ActivStyle, there may be some gradual adjustments as we integrate with Sumitomo Corporation of Americas. ActivStyle will continue to operate as a company dedicated to service and meeting our clients’ needs, but with the added advantage of Sumitomo’s long-term investment and support for our growth. Their approach emphasizes valuing employees, which will positively influence our work environment. Sumitomo’s backing will allow us to stay focused on ActivStyle’s core business without the complexities of fitting into a much larger corporate structure. While they’re excited to support us as a new subsidiary, our leadership team will continue to oversee day-to-day operations. This acquisition provides additional resources and stability, positioning us for continued growth while maintaining the unique qualities that define our company in the healthcare industry.

Will there be any differences in corporate culture?

The acquisition of ActivStyle will allow us to transition away from the AdaptHealth culture and reestablish an ActivStyle-centric corporate culture. We are excited for the opportunity to center our mission around empathy and quality patient care.

Company Operations

Will there be any changes in company operations?

For the past 5 years, ActivStyle has been integrated into AdaptHealth’s operational systems. As a stand-alone company, ActivStyle will now have the opportunity to reestablish its own operational systems that better “fit” our business, as well as enhance existing systems like CarePro to provide even better service to our patients.

What is the timeline for operational changes?

During the acquisition transition window, between signature and close, our leaders will be focused on our operational infrastructure to assure a smooth transition away from shared systems with AdaptHealth to our own systems such as, financial tracking systems, payroll and benefits software, IT infrastructure, licensing, and credentialing.

 

Company Leadership

Will there be leaders onsite more often?

Leadership presence in all locations is top of mind. Senior leadership will be present almost weekly in our main headquarters in St. Paul, MN. In addition, our satellite offices will be put into a standard rotation on a monthly/quarterly basis to have a leader spend time in these locations.

 

Roles & Responsibilities

Will my role or daily responsibilities change because of this acquisition?

At this point, we don’t anticipate any immediate changes to your role, responsibilities, or daily operations. However, as the integration process progresses, there may be some shifts depending on evolving needs or opportunities.

Will there be any layoffs or staffing reductions?

There are no immediate plans for layoffs, and we anticipate adding staff to support areas that are currently handled by AdaptHealth, as we become a fully stand-alone company. However, staffing needs may evolve over time as the company grows and adjusts.

Where will the open positions be posted?

Insperity is our partner for job postings. These postings will be found through Insperity and will also be posted on the ActivStyle website’s Careers page.

Will there be opportunities for hybrid work schedules and/or strictly working from home for ActivStyle?

Employee shifts and work place location, such as Hybrid schedules, will be evaluated post transition. To migrate to remote or hybrid based work force there are several components to be considered, to ensure continuity of the business and be able to effectively manage the operations in this manner.

 

Pay

Will my pay or paycheck schedule be affected?

You will continue to be employed and paid by AdaptHealth until we transition to the Insperity payroll and HRIS system on May 1. We will continue to communicate developments regarding this transition as we progress to ensure a smooth handover.

When will I receive my final paycheck from AdaptHealth and what will be changing with Insperity?

With the move to Insperity managing payroll, ActivStyle will continue to remain on the same bi-weekly payroll cycle as we have with AdaptHealth. Below includes details for the pay periods during transition:

* States with specific timeframes for final pay checks will be handled in accordance state regulations.

What will be on my final AdaptHealth paycheck?

You will be paid final wages for all hours worked as well as any outstanding PTO balance. If you had an ESPP deduction that was paid in a current stock purchase period, funds for that period will be refunded on your final check. Your normal payroll deductions for benefits, taxes, and garnishments will be deducted from your final paycheck.

How will I receive my final paycheck with AdaptHealth?

Generally, final paychecks for ActivStyle team members will be paid via direct deposit on 5/16/2025 for the partial pay period of 4/26/2025 to 4/30/2025. Some states require more immediate payment. For team members in those states, they will receive their final AdaptHealth paycheck deposit earlier per state guidelines.

How will I learn to use the new payroll and HR system?

We will provide information and training to make the transition to Insperity as smooth as possible. The system is similar to our current Paylocity platform. Additionally, an HR representative will be available to answer your questions and provide assistance in the coming weeks.

 

ActivStyle/Insperity Benefits

What is changing with my benefits with the adjusted planned effective date now moved to 5/1/2025?

You will remain on your current benefits with AdaptHealth until 4/30/2025. Benefit coverages elected through Insperity will begin on 5/1/2025.

I already elected benefit coverage through Insperity, will I need to do this again for the 5/1/2025 effective date?

No, if you’ve already made your benefit elections, these elections will be effective starting 5/01/2025.  However, starting on 4/21/2025, the Insperity Portal will be available again to allow you to review your enrollments and make any updates or changes to your previously elected benefits as needed.

Can I make changes to my elected benefits already completed in Insperity that will be effective on 5/1/2025?

Yes, beginning 4/21/2025, the Insperity Portal will be available again in preparation for the 5/1/2025 effective date. At this time, individuals will be able to confirm their benefit elections and make any changes or additions as needed.

I already received my Medical and Dental ID Cards with an effective date of 4/1/2025. Will I be receiving new cards with the corrected date of 5/1/2025?

If you finalized your enrollment early in the process, you may have received Insurance ID Cards and benefit confirmation letters reflecting the effective date of 4/1/2025. Please disregard these materials. New insurance ID cards will be reissued with the updated effective date of 5/1/2025.

 

AdaptHealth-Specific Benefits

Is your personal information accurate within AdaptHealth Paylocity?

To ensure that you receive timely notices and are able to access Paylocity information following the transition, please review your contact information in Paylocity and update as appropriate by 4/30/2025. Will I be able to access my AdaptHealth paystubs and future W2s?

Yes. The How-To Login After Separation document provides information to access your AdaptHealth paystubs or tax documents. You can log in to view or print your W2 in Paylocity after January 31st of the year after you were employed. Click here to download How-To Login After Separation [PDF]. What will happen to my Benefits from AdaptHealth, including my 401(k) through Fidelity?

We have provided detailed information regarding the transition of all of your AdaptHealth benefits in the What Happens to My Benefits document. Please reference this document for any questions or concerns regarding:

401(k)

Will we have the option to rollover our existing 401(k) balance?

Should you be enrolled in the AdaptHealth 401(k) plan through Fidelity Investments, please know your funds will not automatically roll over to the new plan with Transamerica and action will be needed by you.  Please contact Fidelity directly to determine next steps.  The AdaptHealth Fidelity  concierge phone number is 800-835-5097.

Will ActivStyle offer employees a 401(k) plan?

Yes. Our 401(k) plan will be administered via Transamerica Retirement Solutions, which will offer The Safe Harbor 401(k) plan, effective May 1, 2025. By participating in the retirement plan, you are taking advantage of one of the best ways to invest in your financial future.

Please review the Enrollment Guide and Eligibility Notice that will include specific plan details including a variety of links to resources.

Below are key highlights of the plan and upcoming important dates to be aware of for payroll and investment planning purposes:

Highlights of The Safe Harbor 401(k) plan:

  • Eligibility: 2 months of service (Legacy employees from AdaptHealth with at least 2 months of service have met eligibility).
  • Plan Sponsor Contribution Amounts: Matching of 100% of the first 4% of compensation that you contribute to your account, plus 50% of the next 2% of compensation that you contribute. To receive the maximum of 5% match, consider at least 6% of your pay.
  • Vesting: Employees are always 100% vested in the Safe Harbor match contributions.
  • Pre-tax and Post-tax Options: You may invest your retirement contributions with traditional before tax dollars, after tax Roth dollars, or a combination of both.
  • Flexibility: You may elect to increase, decrease, or stop your contributions at any time.
  • Automatic Enrollment: The Safe Harbor 401(k) plan includes automatic enrollment and annual employee contribution increases. This means you will be automatically enrolled in the plan, ensuring you start saving for your retirement right away. Additionally, your contribution rate will increase each year on your anniversary date, helping you gradually build your retirement saving without having to take any extra steps. These features are designed to make saving for your future easier and more convenient.
  • Important: All current ActivStyle employees have met the eligibility requirements to contribute to the 401(k) plan beginning the first pay period with ActivStyle in May. Unless you specifically opt-out of participating in the Plan or make an affirmative election, you will automatically be enrolled. To allow for adequate time for individuals to review the plan, all employees will have 30 days from May 1 to decide to opt-out.  After May 30 you will be automatically enrolled and contributions will be deducted from your pay (before taxes) at a rate of 4%. Your contributions will be allocated to the plan’s “default” investment option.


How do I update my Marital Status for my Transamerica 401(k) account?

A requirement for your Transamerica 401k account is to have your “Marital Status” designation included within your account profile.  This information wasn’t previously part of your Fidelity account and a change to this status cannot be done within the Transamerica site.  To ensure we have accurate information for your 401(k) profile, we ask that you complete this form.

Why is Marital Status required for my 401(k) account and what is needed?

Spousal consent is required if you are married and designating someone other than your spouse as your primary beneficiary. For example, if a married participant wants to designate their child from an earlier marriage as either the primary beneficiary or a co-beneficiary, they will need to get their spouse to consent to this change.

The spouse is required to sign off on the beneficiary designation form if someone other than the spouse is being designated as the beneficiary.  The spouse’s signature is required to be notarized.  The beneficiary form can be obtained by the participant by logging into their account and clicking on Forms.  Participants can also request this from from the call center, by contacting 1- 800-755-5801.

It is the responsibility of the employee to ensure personal information, e.g., Marital Status, is accurate.  In addition, employees are responsible for obtaining and retaining the required beneficiary designation form if selecting a beneficiary that is not the spouse.

 

Company Equipment

Will I need to return my AdaptHealth computer as part of the transition?

Instructions will be provided to all employees on the process for returning your AdaptHealth Laptop or desktop.

What are the key IT dates for the transition?

Here are the key it dates that you should know about as we approach May 1st.

Week of April 21

  • St. Paul staff will begin enrolling the new computers in our new environment. During the week you will login to your new computer and let everything syncronize in the new environment.
  • We will reach out to contacts in other ActivStyle offices with instructions for completing the computer enrollment process at those sites.
  • Our new IT ticketing system will be live by April 23rd. We will provide instructions for using it.

Week of April 28

  • Any new computers left to enroll in the new environment will be completed this week.
  • At the close of business on April 30th (8PM EDT), a final synchronization will begin. It is critical that anything on your AdaptHealth computer, that you wish to have access to after April 30th, be placed on your OneDrive before end of day on April 30th.

On May 1

  • We will begin using our new environment.  You will begin using your new computer at this time and we will provide instructions for collecting your AdaptHealth computer.  DO NOT USE your AdaptHealth computer after 8PM EDT on April 30th.
  • Your temporary email address will be replaced with your new permanent email address. The beginning part (firstname.lastname) will stay the same, the end will change from @activstylecorp.onmicrosoft.com to @activstyle.com.
  • Your login to CarePro will change to your new permanent email address, your temporary email address WILL NOT WORK after April 30th.

What can you do to help with the IT transition?

Make sure any files you want to have access to after April 30th are on your AdaptHealth OneDrive.  The IT Team will be doing incremental synchronizations between now and the cutover date, but the sooner you get your files on your OneDrive, the sooner you will be able to access them after April 30th.  If you wait until the last day to move files, there is a possibility they won’t be available until sometime after May 1st.

If you encounter any issues logging into your new computer, don’t try to fix it. Enter an IT ticket and let the team investigate.

 

Participation Opportunities

Will there be employee groups for me to participate in, such as employee advocacy groups, employee opinion survey groups, safety committees, etc.?

Our HR and Compliance based programs are in development. Our goal is to have employee engagement type committees for employees to participate in.

 

Communication

What if I am contacted by someone from outside ActivStyle regarding the sale?

These calls should be directed to Darrell Rawlings, incoming CEO of ActivStyle. Please use this form to submit these inquiries to Darrell, and he will respond to them accordingly.

How will I be informed of updates and changes during the transition?

We will share updates weekly through supervisors and email communications. It is very important that you closely monitor your email communications during this period of transition.
